Best MFA Solutions for Small Business in 2026

Seven ways for a 5 to 300 person company to put a second factor on email, laptops, VPN and cloud apps, with per-user prices read on vendor pages in October 2026 and a 15-person cost comparison.

TL;DR

Cisco Duo is the best MFA solution for most small businesses: Duo Free covers up to 10 users, and Duo Essentials costs $3 per user a month with single sign-on and passwordless login. Duo also protects the places attackers try next, such as Remote Desktop, VPN and Windows logon, which the free MFA bundled with an email suite does not reach on its own.

Already on Microsoft 365 or Google Workspace? Turn on what you own first: Microsoft Entra ID Free includes MFA, Entra ID P1 adds Conditional Access for $7 per user a month on an annual commitment, and Google Workspace includes 2-Step Verification on every plan. Pick JumpCloud when you also manage the laptops, Rublon at $2 per user for a Windows-heavy office of 15 or more, Okta when single sign-on is the main job and its yearly contract minimum fits, and YubiKey hardware ($58 or $29) for admins and finance staff.

  • Updated: November 8, 2026
  • Top pick: Cisco Duo (best for: Most small businesses, especially those with Remote Desktop, VPN or Windows logins to protect)
  • Top pick price as of November 8, 2026: Cisco Duo: Free for up to 10 users; Essentials $3/user/mo; Advantage and Premier cost more; 30-day trial
  • 7 tools compared: Cisco Duo, Microsoft Entra ID, Google Workspace 2-Step Verification, JumpCloud Protect, Rublon, Okta Workforce Identity Starter, YubiKey
  • Microsoft Entra ID (best for: Companies already on Microsoft 365 that want MFA enforced by Conditional Access policies): MFA free in Entra ID Free with Microsoft 365; P1 sold per user, paid yearly; included in Business Premium
  • Google Workspace 2-Step Verification (best for: Google Workspace companies whose critical accounts live in Gmail, Drive and Google sign-in): Included on every Workspace plan at no extra cost; 300-user cap on Business plans
  • JumpCloud Protect (best for: Small IT teams that want MFA, a cloud directory and device management from one vendor): MFA $4/user/mo billed monthly, less billed annually; passwordless JumpCloud Go $5; 30-day trial

A small business does not need the most advanced MFA product; it needs a second factor on every login an attacker would use, at a price that does not stall the rollout. The gap that hurts small companies is coverage, not features: MFA on Microsoft 365 or Gmail is common, but the Remote Desktop box, the VPN and the shared admin account are often left on a password alone. This ranking sorts tools by what they protect first and by price second.

Cyberpresso data: Toolradar, the software directory we run, tracks 103 identity and access tools as of October 19, 2026. 58% of them are free, freemium or open source, and the median cheapest paid plan across the 22 that publish a price is $17.50 a month, so per-user MFA at a few dollars sits far below the category's typical entry price (Toolradar identity and access category). • Essentials adds phishing-resistant MFA, passwordless login, single sign-on and unlimited applications
  • Protects Remote Desktop and Windows logons, plus RADIUS-based VPN logins, not only web apps

Cons

  • The 11th user moves the whole company onto a paid edition

2 Microsoft Entra ID logo

Microsoft Entra ID

The MFA you already own on Microsoft 365, and the policy engine you buy when sign-in rules need conditions.

Best for: Companies already on Microsoft 365 that want MFA enforced by Conditional Access policies

Pros

  • Entra ID Free is included with Microsoft cloud subscriptions and supports MFA and SSO across SaaS apps
  • P1 adds Conditional Access, so MFA can depend on the device, location or app
  • P1 is included in Microsoft 365 Business Premium, so many small firms already pay for it

Cons

  • P1 bought standalone is the priciest per-user option on this list, on an annual commitment
  • Conditional Access is not in the free tier, so policy-based MFA means buying P1 or Business Premium
3 Google Workspace 2-Step Verification logo

Google Workspace 2-Step Verification

Free 2-Step Verification built into every Workspace plan, with Advanced Protection available for high-risk staff.

Pricing
Included on every Workspace plan at no extra cost; 300-user cap on Business plans

  • The Advanced Protection Program is available on every plan for staff who handle money or admin rights
  • The MFA comes with email, storage and meetings on Business Starter, so there is no separate security bill

Cons

  • Protects Google sign-in only, so Windows logins and VPN need another tool
  • Advanced Protection relies on security keys, a separate hardware purchase for each enrolled person
4 JumpCloud Protect logo

JumpCloud Protect

MFA sold a la carte inside a directory and device platform, for teams that also manage the laptops.

Pricing
MFA $4/user/mo billed monthly, less billed annually; passwordless JumpCloud Go $5; 30-day trial

Best for: Small IT teams that want MFA, a cloud directory and device management from one vendor

Pros

  • MFA, Cloud Directory, SSO and Conditional Access are each sold a la carte at the same per-user rate
  • Cloud RADIUS and Cloud LDAP are sold at the same rate for Wi-Fi, VPN and older app logins
  • The SSO package bundles SSO, MFA and a password manager for $11 per user a month billed annually

Cons

  • Stacking a la carte products adds up fast, and suspended users are still billed
  • No free tier, only a 30-day trial
5 Rublon logo

Rublon

Low-cost MFA aimed at Windows, RDP, VPN and on-premises Active Directory, priced per user with a license floor.

Pricing
Business $2/user/mo with a 15-license minimum; free for 1 user; 30-day trial

Best for: Windows and Remote Desktop heavy offices of 15 or more people that want the lowest per-user price

Pros

  • Business is the lowest per-user list price on this list
  • Covers Windows logon, Remote Desktop, RD Gateway, SSH and several VPNs
  • Mobile push, FIDO keys and an SSO portal are included on every plan

Cons

  • The 15-license minimum means a 6-person office pays for 15
  • Phone support costs extra on both paid plans
6 Okta Workforce Identity Starter logo

Okta Workforce Identity Starter

SSO-first identity with MFA included, priced well for mid-size teams and poorly for very small ones.

Pricing
Starter $6/user/mo billed annually; $1,500 annual contract minimum; free trial

Best for: Growing companies with 20 or more staff where single sign-on across many SaaS apps is the main need

Pros

  • Starter bundles single sign-on, MFA, Universal Directory and 5 Workflows
  • Okta is listed as an alternative to 49 identity tools on Toolradar, a sign of how often buyers shortlist it
  • Essentials adds Adaptive MFA and lifecycle management when the company grows

Cons

  • The annual contract minimum covers about 20 users at the Starter rate, so a 10-person firm overpays
  • Adaptive MFA needs Essentials at $17 per user a month
7 YubiKey logo

YubiKey

Hardware keys that add phishing-resistant FIDO2 login on top of whichever MFA service you choose.

Pricing
YubiKey 5C NFC $58; Security Key Series from $29; one-time hardware cost

Best for: Owners, admins and finance staff who need a factor that phishing pages cannot capture

Pros

  • A FIDO2 key works with any MFA service that accepts security keys, such as Rublon's FIDO option
  • The FIDO-only Security Key Series is the cheaper model for staff who only need passkeys
  • Free shipping on US and Canada orders of $100 or more

Cons

  • A one-time cost per person, plus a spare key, before any service fee
  • It is a factor, not an MFA service: you still need one of the products above to enforce it

What it is

An MFA solution is software that asks for a second proof of identity, such as a push approval, a passkey or a hardware key, after the password and before access is granted. For a business, the product is less the prompt than the admin layer behind it: enrolling staff, enforcing the policy on every app, protecting non-web logins like Windows and VPN, and recovering an employee who lost a phone. That admin layer is what separates a business MFA product from a free authenticator app. If you only need the app on the phone, our 2FA authenticator apps ranking covers it.

Why it matters

Stolen passwords are the cheapest way into a small company, and a second factor turns a leaked password from an open door into a failed login. The factor matters, though. Push approvals and one-time codes stop password reuse but can be phished or spammed, while passkeys and FIDO2 hardware keys cannot be replayed by a fake login page. The practical setup for most small businesses is push or passkeys for everyone, plus hardware keys for the people who can move money or reset other accounts.

Key features to look for

Coverage beyond web apps
Windows logon, Remote Desktop, VPN and SSH. Bundled email-suite MFA protects the suite; a dedicated MFA product protects the server in the closet too.
Phishing-resistant factors
Support for passkeys and FIDO2 security keys, the factors a fake login page cannot replay. Check this before price, because it decides how well MFA holds up against phishing.
Policy and enforcement
Rules that require MFA per app, per group or per risk level, such as Conditional Access in Entra ID P1 or risk-based authentication in Duo Advantage.
Single sign-on
One protected login that opens every cloud app. It turns MFA from one prompt per app into one prompt per day, which is what keeps staff from pushing back.
Recovery and enrollment
A self-service way to enroll a new phone and an admin path to recover a locked-out user. Weak recovery is where social engineering gets around MFA.

Pricing

Prices were read on October 19, 2026 on each vendor's own page: Duo editions and pricing, Microsoft Entra pricing, Google Workspace pricing, JumpCloud pricing, Rublon pricing, Okta pricing and the Yubico US store, plus Duo's Windows Logon and RDP documentation for its coverage. All are USD list prices; Google's page also shows an introductory discount for new customers, which this page leaves out of the budget.

Our cost scenario for a 15-person company, per year (our arithmetic on the printed per-user prices): Rublon Business comes to $360, Duo Essentials to $540, JumpCloud MFA to $540 on annual billing, Okta Starter to $1,500 because the annual minimum is higher than 15 users at the Starter rate ($1,080), and Entra ID P1 bought standalone to $1,260. Google Workspace and Entra ID Free add $0 to a suite you already pay for. Hardware for the same 15 people is a one-time $870 on YubiKey 5C NFC keys or $435 on the cheapest Security Key model.

Methodology: the seven picks are the MFA products a small business can buy self-serve or already owns, ranked by login coverage for a typical small office, then by the yearly cost for 15 users. Each price and limit comes from the vendor's page above. Toolradar profiles: Duo Security, JumpCloud, Okta and Google Workspace.

Mistakes to avoid
×Stopping at email MFA. Microsoft 365 or Gmail with a second factor still leaves Remote Desktop, the VPN and local admin accounts open, and those are where ransomware crews log in.
×Buying Okta for a 10-person team. Its annual contract minimum turns a per-user rate into a flat fee that a smaller company does not use up.
×Rolling out without a recovery plan. A lost phone with no backup factor becomes a helpdesk call, and a helpdesk that resets MFA on a phone call is the bypass attackers use.
Expert tips
→Turn on what you already pay for first: Entra ID MFA on Microsoft 365, 2-Step Verification on Google Workspace. Then buy a product only for the logins it leaves uncovered.
→Give every admin and anyone who approves payments two hardware keys, one daily and one spare in a safe place.
→Use push with number matching or passkeys instead of SMS codes wherever the product allows it.

The bottom line

Cisco Duo is the default MFA buy for a small business: free up to 10 users, low per-user pricing after that, and coverage for the Windows, Remote Desktop and VPN logins that bundled suite MFA misses. Companies on Microsoft 365 should switch on Entra ID MFA first and move to P1 when they need Conditional Access, and Google Workspace companies should enforce 2-Step Verification before buying anything.

Choose JumpCloud when MFA comes with device management, Rublon for the lowest per-user price at 15 or more seats, and Okta once single sign-on across many apps justifies its minimum. Add YubiKeys for the people an attacker would target first. Frequently asked questions

What is the best MFA solution for a small business in 2026?

Cisco Duo for most small businesses: Duo Free covers up to 10 users and Duo Essentials costs $3 per user a month, with coverage for Remote Desktop, VPN and Windows logon as well as cloud apps. Microsoft 365 companies should start with the MFA in Entra ID, and Google Workspace companies with 2-Step Verification, both included in what they already pay. Prices were read on vendor pages on October 19, 2026.

Is there a free MFA solution for small businesses?

Yes, three. Duo Free protects up to 10 users, Microsoft Entra ID Free includes MFA with Microsoft 365 and other Microsoft cloud subscriptions, and Google Workspace includes 2-Step Verification on every plan. Rublon also has a free plan, but it protects a single user.

How much does MFA cost per user?

Between $2 and $7 per user a month for the self-serve products on this list. Rublon Business is the lowest, with a 15-license minimum; Duo Essentials and JumpCloud MFA on annual billing sit just above it; Okta Starter adds a yearly contract minimum; and Entra ID P1 sits at the top of the range on an annual commitment. The 15-person scenario in our pricing section turns those rates into yearly totals.

Do small businesses need hardware security keys?

Not for every employee, but yes for admins and anyone who approves payments. Push approvals and codes can be phished, while FIDO2 keys cannot be replayed by a fake login page. A YubiKey 5C NFC costs $58 and Yubico's FIDO-only Security Key Series starts at $29, so keys for a handful of high-risk staff cost a few hundred dollars once. Our YubiKey review covers the models.

Duo or Okta for a small business?

Duo for most companies under 20 people: it is free up to 10 users and reaches Windows, RDP and VPN logins. Okta Starter includes MFA but is built around single sign-on and carries a $1,500 annual contract minimum, so it fits better once a company has 20 or more staff and many SaaS apps. Our Duo vs Okta comparison goes deeper.

Is SMS good enough as a second factor?

It beats a password alone, but SMS codes can be intercepted through SIM swapping and phished like any code. Every product on this list offers push approvals, passkeys or hardware keys, so a business rolling out MFA in 2026 has no reason to make SMS the default.
