Proofpoint Review 2026: Pricing, Pros, Cons and Alternatives
What Proofpoint's small-business list price says, why its enterprise tiers need a quote, and how its cost compares with Microsoft Defender for Office 365.
Proofpoint is worth it for a security team that wants email protection beyond Microsoft's own, and it costs from $2.75 per active user a month on its small-business Essentials line. That is the Business package on Proofpoint's Essentials MSRP price list, with Advanced at $3.75 and Professional at $5.33. Its enterprise Collaboration Security tiers carry no public price.
The catch is the comparison with Microsoft. Defender for Office 365 Plan 1 lists at $2 a user a month, paid yearly, so Proofpoint has to earn its premium on detection, encryption and archiving. The Essentials price list is a data sheet dated October 2021, so confirm the current rate with a Proofpoint partner before you budget.

ProofpointProofpoint is one of the default names on any email security shortlist, and the buyer question is rarely whether it works. It is whether its price is justified next to the Microsoft Defender protection many companies already own, and which of its two product lines a given company should buy.
Methodology: this review is built from Proofpoint's Essentials price list, its Core Email Protection, 365 Total Protection and how-to-buy pages, and Microsoft's Defender for Office 365 page, all read on 18 October 2026, plus Toolradar's listing data.
We did not run Proofpoint against live mail, so nothing here measures detection rates; vendor figures are reported as the vendor's claims.
What is Proofpoint?
Proofpoint is an email and collaboration security vendor that sits in front of, or connects by API to, Microsoft 365 and Google Workspace. It filters phishing, malware and business email compromise (BEC), and sells data loss prevention, security awareness training and archiving around that core. Toolradar lists it as Proofpoint.
It sells two lines. Proofpoint Essentials is the small and midsize line, priced per active user on a published list. Core Email Protection and the Collaboration Security tiers above it are the enterprise line, quoted by user count and contract term.
Cyberpresso data: Toolradar compares Proofpoint with 177 email tools as of October 2026. Proofpoint has no free plan, while 56% of those peers have one, and it is listed as an alternative to 8 tools. Free email security is common at the low end, so Proofpoint competes on depth, not on entry price.
Our best email security tools roundup ranks it among its peers.
How Proofpoint works
Core Email Protection deploys two ways: inline as a secure email gateway that mail passes through, or by API inside Microsoft 365, where detections show in the Microsoft console.
Proofpoint says it protects mail before delivery, in the mailbox, after delivery and at click time, and that it blocks 99.999% of advanced email threats; treat that figure as a vendor claim.
The enterprise tiers stack on Core. Tier 2 adds account takeover protection, compromised supplier detection and coverage for Teams and Slack. Tier 3 adds human risk scoring and threat-guided training. Prime adds domain fraud and lookalike-domain protection and hosted DMARC, DKIM and SPF.
For smaller companies, Proofpoint 365 Total Protection bundles email protection, data loss prevention, Microsoft 365 backup and security awareness training in one console. Its page lists no price, so it is a partner conversation like the enterprise tiers.
Proofpoint key features
Proofpoint pricing
Proofpoint publishes list prices only for Essentials. Its Essentials MSRP price list for US data centers, a data sheet dated October 2021 and still hosted on proofpoint.com when we read it on 18 October 2026, prices every package per active user per month: Business at $2.75, Advanced at $3.75 and Professional at $5.33. The Security Awareness add-on is $1.00. Partners resell Essentials, so the price you pay can differ from this list.
Our 50-user cost model, from those list prices: Essentials Business comes to $137.50 a month, Advanced to $187.50 and Professional to $266.50. Adding security awareness training adds $50 a month. Microsoft's Defender for Office 365 page lists Plan 1 at $2.00 a user a month and Plan 2 at $5.00, both paid yearly, so 50 users cost $100 or $250 a month. These are multiplications of list prices, not quotes.
The enterprise line is quote-only. Proofpoint's how-to-buy page says budgetary pricing depends on the number of user licenses and the contract term, single or multi-year, with some exceptions based on consumption.

Proofpoint pros and cons

- Core Email Protection deploys inline or by API, with detections visible in the Microsoft 365 console.
- Prime adds lookalike-domain detection and hosted DMARC, DKIM and SPF to the email stack.
What could be better
- The Essentials list is a 2021-dated data sheet, so current partner prices can differ.
- Enterprise tiers have no public price, and Toolradar notes setup may need specialist skills.
Who Proofpoint is for
Proofpoint fits a company where email is the main attack path and a security team will tune policies: finance, healthcare and any firm hit by BEC or invoice fraud.
Essentials suits a small business or an MSP client that wants Proofpoint filtering at a per-user price; the enterprise tiers suit a SOC that wants takeover detection, supplier risk and DMARC in one contract.
Skip it if Microsoft Defender for Office 365 Plan 2 already covers you and you have no evidence of attacks getting through, because Proofpoint's value is the gap it closes. Toolradar's listing notes that implementation and management may need specialized security skills, so a one-person IT team should weigh that.

The bottom line
Proofpoint is worth it when email is your main attack path and you need more than Microsoft's built-in protection. Small firms can price Essentials from a published per-user list, while larger teams buy Core and the Collaboration Security tiers by quote. Ask a partner to confirm the Essentials rate, because the list on proofpoint.com is dated 2021.
